ConnectWise PSA: operational records and the referral opportunity
A ConnectWise PSA holds an MSP's own operating history: tickets, time entries, projects, agreements and notes. That history can be valuable for AI training, but only the MSP's own operating records are in scope, not client-identifying content. MSPs with 50+ full-time employees at peak and years of records may qualify.
What does a ConnectWise PSA hold?
A professional services automation platform is the system of record for how an MSP runs service. In a ConnectWise PSA that typically means service tickets and their notes, time entries, projects and tasks, agreements and billing, configuration records and reports.
For an MSP that has run the same PSA for many years, this is a long, structured log of how technicians diagnose, escalate and close work. That is the part AI developers building agents for IT operations care about.
What makes the records valuable?
Value comes from structure and outcomes, not volume alone.
| Record | What it shows | Why AI buyers value it |
|---|---|---|
| Ticket lifecycle | Status changes, assignments, escalations, resolution | Multi-step workflows with outcomes |
| Time entries | Effort per task, by role and category | Realistic effort and routing patterns |
| Project plans and tasks | Phases, dependencies, slippage | Planning and change-management context |
| Agreements and billing | Service tiers, scope, exceptions | How service rules are applied |
| Reports and dispatch history | Queue load, SLA outcomes | Operational decision patterns |
The wider case is covered in AI agents in IT service management, and the same logic applies to HaloPSA and to ERP records such as Dynamics NAV and Infor.
What stays out of scope?
The PSA mixes the MSP's operating data with client content. Ticket text can include client names, user identities, device details and sometimes pasted credentials or screenshots.
| Content | Whose is it? | Treatment |
|---|---|---|
| Ticket structure, categories, timestamps, resolution codes | The MSP | Potentially in scope |
| Technician notes about method | The MSP, subject to contracts | Needs rights review |
| Client names, contacts, end-user identities | Client-related | Redaction rules agreed up front, or excluded |
| Credentials, secrets, network details | Client-related | Never in scope |
| Mainly client personal or health data | Client or individuals | A red flag |
De-identification and redaction requirements are agreed with the company before any work begins, and data is delivered only after an executed agreement and the company's authorization. The related question is answered in can an IT provider share client data for AI licensing.
What are the export and retention realities?
Keep this generic: the question is not what the vendor allows in theory, but what the MSP has actually kept and who can run an export. Ask these things.
- When did the MSP go live on the PSA, and was an earlier tool migrated in or left behind?
- Was history purged or archived to control database size?
- Who is the named administrator able to run a bulk export?
- Has an export ever been tested, for example during a platform evaluation?
A partner never runs these exports. The company does that work with SourceX if it proceeds.
How does a partner spot an MSP using it well?
- 50+ full-time employees at peak (contractors excluded)
- Five or more years on the same PSA, or an archived predecessor
- Tickets closed with categories and resolution notes, not free text only
- Time entries recorded consistently by technicians
- Separate systems for documentation, finance, CRM and monitoring, since strong companies often run 10-15+ systems
- An owner or CEO who can authorize a review
The company fit checker is a preliminary, non-binding screen. If the MSP is also moving platforms, the referral program for data migration specialists explains why the preservation moment matters.
Pitfalls
| Pitfall | Why it hurts | Fix |
|---|---|---|
| Treating the PSA as one dataset | Client-owned content is mixed in | Separate MSP records from client content early |
| Purging old tickets | Removes the longest history | Ask before any purge or migration |
| Assuming the vendor holds a copy | The MSP may have nothing it controls | Confirm an export exists |
| Promising a payout to the MSP | Nothing is binding until signing | Describe the process only |
How does an MSP prepare before any conversation?
A short internal prep saves a lot of time with the owner. Ask the operations lead or service delivery manager, not the technicians, to gather the following in one sitting.
| Prep item | Who answers | Output |
|---|---|---|
| Go-live month and year on the PSA | Service delivery manager | One date |
| Ticket volume range per year | PSA administrator | A rough range, no ticket content |
| Other systems in the service chain | IT director | A list of tools and years used |
| Client contract clauses on data use | Owner or counsel | A yes, no or unclear answer |
| Last tested export | PSA administrator | A date or "never" |
None of this requires opening a ticket. The point is to let the owner decide whether a formal review is worth their time. If the answers show a long history, a named owner and a workable export path, the owner can apply directly at sourcex.si/apply or ask you to submit the introduction.

How rewards work
Partners earn 25% of the eligible platform fees SourceX actually collects from the referred company's licensing deals, capped at $100,000 per referred company. The reward is paid only after the buyer pays and SourceX receives its fee, and no reward is guaranteed. It is a share of SourceX's fee and never reduces what the MSP receives. See following a referral from submission to payout.
Next step
If an MSP you know fits, register as a partner and introduce the owner. MSP owners can read more at referral opportunities for managed service providers, or you can use the network opportunity finder to see who in your network fits. Review who qualifies first.
- Step 1Share your linkSend your personal link to a company you know.
- Step 2Company appliesThe company applies itself at /apply.
- Step 3Buyer selects and paysThe buyer selects and pays for the data and SourceX receives its fee.
- Step 4You get your rewardYour share of SourceX fees becomes payable.
Common questions
Can an MSP license ConnectWise tickets that mention client names?
Not as they stand. Client-identifying content is out of scope unless the company has the right to use it and redaction rules are agreed before any work begins. Many MSPs find that the structure and outcomes are the valuable part, not the identities.
How many years of PSA history does an MSP need?
There is no fixed minimum for PSA history. The company baseline is several years of documented operations, and longer histories of 5-10+ years, including archived systems, help. Companies must also have 50+ full-time employees at peak, contractors excluded.
What if the MSP migrated from another PSA?
That can help. A predecessor system that was archived but still exists can add years of history. Record what moved and what was left behind, and confirm someone can still access the archive.
Does the referring partner need ConnectWise access?
No. Partners give basic fit information only and never export, upload or describe confidential records. The MSP and SourceX handle inventory, rights review and delivery under an executed agreement.
Is the PSA the only system that matters?
No. Buyers value connected workflows, so documentation, finance, CRM, email and monitoring records add useful context to the PSA. Strong companies often keep records across 10-15+ systems, and the more systems that link together, the more complete the picture of real work.
