HaloPSA data: which service records could an MSP consider licensing?

HaloPSA holds an MSP's tickets, escalations, projects and billing history, and the records the MSP itself created may fit a SourceX review. Client environment data, credentials and end-user details must be separated first. Partners introduce the owner and never export or describe records.

What HaloPSA holds and what an MSP can consider licensing

HaloPSA holds an MSP's ticket, project, contract and billing history, and in many shops that history was carried over from an older PSA. The MSP's own service records, meaning how its technicians triaged, escalated, resolved and billed work, may fit a SourceX review. Anything describing a client's environment, credentials or users does not belong to the MSP and has to be separated before anyone discusses a license.

This page is for MSP owners, COOs and service delivery leads who are on HaloPSA or moving to it. The first move is a separation exercise, not an export.

What does a HaloPSA instance keep over time?

An IT-service workflow with outcomes is exactly the shape of record that agent builders look for; the AI agents in ITSM guide explains why.

Why migrated history needs its own check

MSPs often move to HaloPSA from another platform and import years of tickets. That is a strength, because depth matters, and a risk, because migrations can flatten things.

  • Field mapping. Check whether resolution notes, time entries and categories survived the import in readable form.
  • Authorship. Imported notes may be attributed to a migration user instead of the technician, which weakens the record.
  • Attachments. Screenshots and logs may have been dropped or may sit in a separate store.
  • Old system retained? If the previous PSA was switched off without an archive, the original export may be the only copy. The ConnectWise PSA brief covers the older side of this move.

A migration is also the best moment to raise preservation, since the shop is already deciding what to keep.

Separating the MSP's records from client environment data

Rights are the deciding issue for an MSP. Use this sort before any introduction.

Whether even the MSP-written parts can be licensed turns on the master services agreements. Many restrict use of client information to delivering services, and the question of who can authorize sharing client-related records is answered on its own page. Redaction requirements are agreed with the company before work begins.

The service-record screen

  • Years: several years of tickets in one place, ideally five or more.
  • Outcome fields: resolution, category and closure data are populated, not blank.
  • Separation: the MSP can distinguish its own notes from client content.
  • Contracts: client agreements do not forbid secondary use, or the MSP can obtain consent.
  • Scale and reach: 50+ full-time employees at peak (contractors excluded) and a direct line to the owner, CEO, CFO or authorized representative.

Passing is not approval. SourceX qualifies the company, then the company completes its own inventory, then price and terms are agreed. The company fit checker offers a preliminary, non-binding screen.

Practical questions to ask an MSP owner

  1. Which PSA did you run before HaloPSA, and does that history still exist anywhere?
  2. Do you record calls to the service desk, and is notice given? See recorded calls with notice.
  3. What do your client contracts say about using information from the service relationship?
  4. Who could export tickets and knowledge articles if you asked tomorrow?
  5. Has any of this already been licensed or shared with an AI vendor?

What to say

Ready-made wording is in the MSP email templates, and the broader context is in additional revenue streams for MSPs.

How rewards work

Partners earn 25% of the eligible platform fees SourceX actually collects from the referred company's licensing deals, capped at $100,000 cumulative per referred company. The reward is a share of SourceX's fee and is never deducted from what the company receives. It becomes payable only after the buyer pays and SourceX receives its fee. No reward is guaranteed. If you advise clients under professional or contractual duties, check your own agreements on referral fees and disclosure. This is general information, not legal, tax or financial advice. Confirm contract and rights questions with your own counsel.

Next step

If a HaloPSA shop has the years, the separation and a reachable sponsor, register as a partner and introduce them. Review the MSP partner overview first if this is a new channel for you, and the who qualifies baseline before you speak to the owner.

  3. Step 3Buyer selects and paysThe buyer selects and pays for the data and SourceX receives its fee.
  4. Step 4You get your rewardYour share of SourceX fees becomes payable.

Common questions

Does moving to HaloPSA affect whether our ticket history can be licensed?

Not by itself. What matters is whether the history survived the migration in readable form, with resolutions and authorship intact, and whether the MSP has the rights to license it. A complete export before the old PSA is retired makes everything easier.

Are client names inside tickets a problem?

Yes. Ticket text often contains end-user names, emails and device details. These are handled through redaction, de-identification or exclusion, with requirements agreed between SourceX and the company before any work starts. A partner does not decide this and never handles the records.

Can a small MSP qualify?

The baseline is a US company with 50+ full-time employees at peak (contractors excluded), several years of documented operations, rights to license the data and an authorized sponsor. A smaller shop does not meet it.

What if our contracts forbid using client information?

Then that material stays out unless clients consent. Some records, such as the MSP's own runbooks and internal process notes, may still be eligible. Have counsel read the agreements before the owner commits to anything.

Should I ask to see a ticket export first?

No. Partners give basic fit information only and never review confidential records. If the owner wants to proceed, the company completes its own data inventory after SourceX qualifies it.
