Introduction handoff email: how to step back once SourceX takes over
A handoff email thanks both sides, says who owns the next step, and moves you to bcc so the owner and SourceX work directly. Send it once both have replied. Keep it short, make no promises about outcome, and never carry or describe company records.
How do you hand off an introduction cleanly?
Send one short email that thanks both sides, says who owns the next step, and moves you to bcc or off the thread. The owner now deals with SourceX directly, and your job is to stop being a relay. A clean handoff also protects you: it shows that you made an introduction and nothing more.
Use this page once the owner has said yes and you have made the first introduction. For the earlier emails, see the company introduction email template and the introduction email builder.
When should you step back?
Step back at the moment both sides have replied at least once. Staying in the thread beyond that point causes three problems: the owner starts sending questions to you instead of SourceX, you appear to have a role in the negotiation, and confidential details drift into a thread that was meant for logistics.
| Signal | Action |
|---|---|
| Owner replied and SourceX replied | Send the handoff email now |
| Owner replied, SourceX has not | Wait a business day, then nudge SourceX, not the owner |
| SourceX replied, owner silent | One reminder to the owner, then wait |
| Owner declines | Send a one-line thanks; the introduction is closed |
| Call booked | Send the handoff email before the call |

What should you stay informed about?
After the handoff, accept silence as an answer. The owner owes you no progress reports, and SourceX works with the company directly. See how it works for the sequence of steps from qualification to payment, so you know what stage a quiet period probably means.
| Question you may be tempted to ask | Why to hold back | What to do instead |
|---|---|---|
| Did you send your application yet? | The owner may be waiting on internal approvals | One friendly check, then wait |
| What did you find in your systems? | Describing records is not a partner role | Ask nothing about contents |
| What price did they offer? | Price and terms are between the company and SourceX | Leave it to them |
| Has my reward been paid? | Payable only after the buyer pays and SourceX receives its fee | Read the program terms and wait |
What does a partner never handle after the handoff?
- Confidential records of any kind, in any form. Partners never export, upload or describe them.
- Questions about price, exclusivity or redaction; those are agreed between the company and SourceX.
- Introductions to the buyers. SourceX manages buyer review.
- Any promise about timing. Once a company is deal-ready, buyers typically respond within about two weeks, but that is not something to promise.
How do rewards work after you step back?
Credit goes to the first valid referrer whose introduction leads to a verified company application within the attribution window, so stepping back does not cost you credit. You earn 25% of eligible platform fees SourceX actually collects, capped at $100,000 per referred company. The reward is payable only after the buyer pays and SourceX receives its fee. A lead, meeting or signed agreement alone does not trigger payment, and no reward is guaranteed. Read the program terms for the current conditions.
Common handoff mistakes
| Mistake | Why it hurts | Fix |
|---|---|---|
| Staying on the thread for weeks | Owner treats you as the project manager | Move to bcc after the first replies |
| Forwarding the owner's records to SourceX | Partners never handle records | Leave all data discussion to the company |
| Relaying messages between the two | Details get altered and lost | Ask both to write directly |
| Telling the owner what the deal will bring | Nothing is binding until signed | Say only what the process is |
| Going silent without saying so | Owner thinks you disappeared | Announce the step back in writing |

Common questions
What does moving someone to bcc mean in an introduction?
It means you stay on the email for your own records but remove yourself from the visible recipients, so replies go only between the owner and SourceX. State it in the message so nobody is surprised, and avoid replying to the thread afterwards.
Do I lose credit if I leave the thread?
No. Attribution depends on the first valid referrer whose introduction leads to a verified company application within the attribution window, not on staying in the email conversation. Making the introduction through your referral link or the referral form is what preserves your credit.
What if the owner keeps asking me questions after the handoff?
Redirect them politely to SourceX and say you cannot answer questions about price, rights or data. Offer to forward their email once, in the owner's words, then stop. Answering from memory risks making promises that the process does not support.
Should I tell SourceX anything before sending the handoff?
Say nothing beyond the introduction email itself. The referral form or link already records basic fit information. Do not send descriptions of the company's records or documents, since partners give basic fit information only and never describe confidential material.
When should I send nothing at all?
When the owner has not agreed to an introduction yet, or has said they are not interested. The handoff only follows a real introduction. If the owner has gone silent for several weeks after the first email, a single polite check is the limit.
