A company that has run Zoho CRM, Desk, Books and Projects together for years holds linked sales, support, finance and delivery records in one tenant. It also means size deserves a check first: a deep tenant at a company below 50 full-time employees at peak (contractors excluded) is still outside the baseline.

What do the backup and export tools produce?

Zoho products offer admin-level data backup or export features, and the format and schedule vary by app, plan and release. In practice the output is a set of files, usually CSV or similar, plus attachments, packaged by module. Check Zoho's current help for the plan in front of you before promising a format, volume limit or schedule to a client.

Things to confirm with the company's admin:

  • Which apps have scheduled backups, and how long are old backups kept?
  • Do exports include notes, attachments and activity history, or only record fields?
  • Who holds admin rights, and is the person still at the company?
  • Are there older tenants or retired accounts from before a consolidation?

How do you check depth in ten minutes?

Use the 4-link test. Pick one closed deal and ask the admin whether they can trace four links: the original lead, the deal stages, the related support tickets and the invoice. Each link that holds years of history adds to the case.

  1. Lead to deal: can they show source and conversion dates?
  2. Deal to stages: are stage changes kept, not just the final stage?
  3. Deal to tickets: do support records tie back to the account?
  4. Deal to invoice: does billing connect to the same customer record?

What should stay out of any scope?

Zoho tenants hold customer and prospect personal data: names, emails, phone numbers, addresses, support conversations. Unless the company has a clear basis to license it, or de-identifies it under rules agreed with SourceX before work begins, treat it as out of scope. The same goes for records that belong to clients, such as an agency's account data, and for payment details.

How do you raise it as a consultant?
