Workday data export after migration: what HR process history means for a licensing introduction
A Workday data export after migration should be planned before the tenant is closed, because historical reports and process records may not carry over. For SourceX introductions, Workday signals a larger company with structured processes, but identifiable employee records are excluded or de-identified, so only metadata-level description is appropriate.
What Workday tells a partner
Workday is enterprise-grade software for human capital management and, at some companies, financials and planning. Companies that run it tend to have enough staff and process volume to justify the cost and the implementation. For a referral partner, the first signal is size and structure, not content.
A company on Workday often has formal approval chains for hiring, job changes, time off, expenses and compensation cycles. Those structured processes are what make the system interesting at a conceptual level. They are also why this page is careful: HR data is the most personal data most companies hold.
What can be described at metadata level
The inventory step asks the company to list its systems, how many years each covers and whether history can be exported. For Workday, that might read as a short row, not a description of anyone's record.
| Item | Can be noted | Not noted |
|---|---|---|
| Modules in use | HCM, financials, recruiting or other areas | Who is employed in them |
| Years of history | Start year and any gaps | Individual job histories |
| Process types | Approvals, requisitions, change workflows | Specific cases |
| Export status | Whether reports or archives exist and who owns them | Contents of exports |
| Owner | Role of the person who administers the tenant | Names of workers |
Process-level material that contains no identifiable worker information, such as workflow definitions, policy documents or aggregated structures, is a separate question the company settles with SourceX. De-identification and redaction rules are agreed before any work begins, and data is delivered only after an executed agreement and the company's authorization.
Why identifiable records are excluded or de-identified
Worker records include names, pay, performance, health-related leave and sometimes identifiers. A company would face consent, notice and contractual limits, and buyers want clean rights. This is why a partner should treat Workday as a size signal and move the conversation to systems that carry less personal exposure, such as engineering, operations, support and finance process records.

Export and retention realities after a migration
Treat each point as a question for the company to confirm with its Workday contract and administrator, not as a statement about the vendor.
- Does the contract specify what happens to the tenant when it ends, and for how long data stays available?
- Were historical reports, audit trails and process logs migrated to the new system or only current records?
- Is there a data warehouse, a reporting database or a finance archive holding older history?
- Who administers the tenant now, and did that person leave during the project?
- Is there an internal retention schedule that mandates deletion?
The Xero records guide walks through the same logic for finance records: confirm access, confirm what is kept and keep a complete copy before the subscription ends.
How to spot a company that fits beyond Workday
- 50+ full-time employees at peak, with several years of documented operations.
- Records in many systems: email, Slack or Teams, CRM, finance, support, engineering, operations.
- Archived or retired systems whose data still exists.
- A sponsor who can authorize: owner, CEO, CFO or authorized representative.
- No sign that most data belongs to clients or is mainly consumer or health data.
Where Workday sits among other systems
Read it next to systems that hold task and decision records rather than people records. For example, legacy CRMs like SugarCRM hold sales histories with outcomes, McLeod and Trimble TMW hold trucking operations, Applied Epic holds insurance agency work and Greenhouse holds structured hiring decisions, again with personal data excluded. The guide to assessing sales playbooks and CRM process histories shows how to read a process history without opening it.
A migration calendar for the archive question
| Stage | Question to put on the project plan | Who answers |
|---|---|---|
| Contract review | When does tenant access end, and what is available after? | Procurement or legal |
| Design | Which historical process records move to the new system? | Project lead |
| Parallel run | Is a read-only archive or warehouse copy being built? | IT |
| Cutover | Who signs off that nothing needed was left behind? | Sponsor |
| Close-out | Where will the archive live, and who owns it? | CFO or COO |
Illustrative: a fictional 400-person services company finishes its migration and finds the older approval workflow definitions and finance process history sit only in the old tenant. The CFO asks IT to keep a copy of the non-personal material before access ends. Whether any of it is later licensed is a separate decision made with SourceX.
Pitfalls
| Pitfall | Why it hurts | Fix |
|---|---|---|
| Asking HR to share samples | Worker data should not leave the company | Ask only for system names and years |
| Pitching HR records as the asset | Privacy and consent risk | Steer to operational and finance process records |
| Assuming Workday means large enough | Headcount at peak still decides | Check the who qualifies baseline |
| Skipping the sponsor | HR cannot authorize a license | Go to the CEO, CFO or owner |
What to say
The data inventory builder lists systems without describing records.
Next step
If a larger company you know is retiring Workday, ask about the wider system map and register as a partner to make an introduction. Companies can apply at sourcex.si/apply. Rewards are paid only after the buyer pays and SourceX receives its fee, and no reward is guaranteed.
- Step 1Share your linkSend your personal link to a company you know.
- Step 2Company appliesThe company applies itself at /apply.
- Step 3Buyer selects and paysThe buyer selects and pays for the data and SourceX receives its fee.
- Step 4You get your rewardYour share of SourceX fees becomes payable.
Common questions
Can a company license employee records from Workday?
Identifiable employee records are not what this program is built around. Personal data about workers raises privacy and consent issues, so it is excluded or de-identified under rules agreed with the company before any work begins. Workday mostly matters here as a sign of size and process maturity.
Does using Workday mean a company qualifies?
No. Workday usually points to a larger company, but the baseline is still 50+ full-time employees at peak (contractors excluded), several years of documented operations, rights to license and an authorized sponsor. Many other systems carry more weight than HR.
What can be described at metadata level?
The inventory can note that a company ran Workday HCM or Financials for a certain number of years, which process modules it used, and whether history is exportable. It does not describe individual workers, pay or reviews. The company completes this inventory itself with SourceX.
What if the company has already left Workday?
Ask whether an archive or data warehouse copy exists and who controls it. If not, the HR system adds nothing, though other systems may still support an application. Do not suggest that records can be recovered.
Is a partner allowed to ask HR for exports?
No. Partners make introductions and give basic fit information only. Never request, receive or describe worker data. If HR holds the system, speak to the sponsor, such as the CEO, CFO or an authorized representative, and let the company handle internal access.
