What should you export from HubSpot before a shutdown?

Export every object, not just contacts. A shutdown export should include companies, contacts, deals, tickets, activities (calls, meetings, notes, tasks), logged and sent emails, and the files attached to them, plus the association data that says which record belongs to which. Of those, deal and ticket histories with their stage changes and outcomes are the most valuable to keep, because they show how work moved from first contact to result.

What history does a HubSpot portal hold?

A portal that has been used for years is a record of how a company sold, onboarded and supported customers. The depth depends on how consistently the team logged work.

A portal running five or more years, with a sales team that logged every call and a service team that closed tickets inside the tool, is the strong case. A portal used only as a mailing list is not.

What does a standard export include and miss?

Treat any standard export as a starting point and test it. The common gaps are structural rather than missing rows.

  • Associations. Object-by-object files can lose the link between a deal and its contacts, its emails and its tickets unless association data is exported too.
  • Activity bodies. Notes, call summaries and email bodies may sit in separate files or behind separate tools from the main record export.
  • Attachments. Files stored in the portal's file area or on records are often not inside a spreadsheet export at all.
  • History. Current values are easy to export; property and stage history over time takes more care.
  • Marketing and automation logic. Workflows, forms and sequences describe process, but a data export does not capture them as working automations.

HubSpot's export tools, limits and retention terms change, so check its current documentation and your client's plan before promising anything. Do not assume a limit from memory in either direction.

What happens to the data after a subscription ends?

Assume access can disappear on a date you do not control. Read the client's contract and the vendor's current terms for the retention window and the deletion process, then build the export schedule around the earliest date.

Three practical rules:

  1. Name an owner for the export. A portal admin who has already left is a frequent cause of lost access, so confirm who holds super admin rights today.
  2. Export before downgrading a plan, because a downgrade can remove features and history views you need.
  3. Keep a dated log of what was exported, by whom, and where the files now sit.

The 4-file preservation test

Before you tell a client the export is done, check four files.

  • Deals with outcomes: each deal row has stage history, close date and won or lost status.
  • Tickets with resolutions: each ticket row has category, status history and the closing note.
  • Association map: a file that links deals, tickets, companies, contacts and activities by record ID.
  • Attachment index: a list of every stored file, the record it belongs to, and where the files themselves now live.

If you can rebuild one complete deal from first touch to close using only the export, the export is usable. If you cannot, fix it while the portal is still live.

Is a HubSpot history worth a SourceX review?

Only some are. A company must be a US business with 50+ full-time employees at peak (contractors excluded), several years of documented operations, rights to license the data, and an authorized sponsor. A CRM alone does not make a company a fit; strong companies keep records across many systems, often 10-15 or more. What are the rights and privacy limits?

A CRM is full of other people's information. Contact and company records hold personal data, and customer emails and attachments may belong to, or be confidential to, the client's own customers.

  • You never export, upload or describe confidential records as part of an introduction. You only share basic fit information.
  • De-identification and redaction requirements are agreed with the company before any work begins.
  • Mainly consumer personal data with no licensing basis, or records that belong to someone else without consent, are red flags.

Common questions

Does a standard HubSpot export capture file attachments?

Not reliably. Spreadsheet exports of records often leave out attached files, stored documents and some activity bodies. Check the client's plan and HubSpot's current documentation, export attachments separately, and keep an index that maps each file to its deal, ticket or contact so the files remain usable later.

How soon should a client export before cancelling HubSpot?

Before the plan is downgraded or cancelled, and before the earliest deletion date in the contract or vendor terms. Allow time to test the export by rebuilding one complete deal. A finished export checked while the portal is live is far safer than a repair attempted afterward.

Can a company with only a CRM qualify for a SourceX review?
