ConnectWise PSA ticket history: what it means for data licensing
A ConnectWise PSA holds an MSP's ticket notes, resolutions, time entries and SLA and escalation history, which together show how service work actually runs. For a US MSP with 50+ full-time employees at peak, that history may be licensable once client detail is scoped and redacted; a partner only makes the introduction.
What does a ConnectWise PSA actually hold?
A ConnectWise PSA (professional services automation) system, including the product long known as ConnectWise Manage, holds an MSP's full service record: tickets and their notes, resolutions, time entries, SLA and escalation history, projects, agreements and billing. Vendors and consultants mostly discuss PSA data as an input for the MSP's own AI tools. This page covers a different question: whether an MSP's own history can be licensed, and how a partner raises it without asking for any export.
SourceX works with US companies with 50+ full-time employees at peak (contractors excluded). An MSP that qualifies has usually run a PSA for years, which is why the system is worth understanding.
Which fields signal workflow depth?
Not every field is equally useful. Buyers training or evaluating agents care about the sequence of work and its outcome, more than the headline ticket.
| PSA data | What it records | Why it signals depth |
|---|---|---|
| Ticket type, subtype and item | How the MSP classifies requests | A mature taxonomy shows consistent triage |
| Internal notes versus discussion notes | What technicians tried, separate from client-facing replies | Reasoning and dead ends, not just answers |
| Resolution field and closing codes | The final fix and how the MSP labels outcomes | Outcome labels turn a record into a training example |
| Time entries | Who worked, how long, on which step | Effort and handoffs across a workflow |
| SLA and escalation history | Response clocks, priority changes, tier moves | Decision points and exceptions |
| Linked configurations and recurring tickets | Which asset or pattern a ticket belongs to | Cross-record context |
| Projects and tasks | Multi-step implementation work | Longer chains than single tickets |
Depth comes from consistency over time. Ten years of tickets with empty resolution fields is worth less than five years with disciplined closing notes.
How far back does the history usually go?
It goes back to whenever the MSP adopted the PSA and as far as its retention practice allowed. Many MSPs have run one PSA for years, others migrated from an older tool and kept an archive, and some purged closed tickets on a schedule. A partner cannot know which from the outside, so treat the answer as a question for the owner, not an assumption.
A useful tell is a recent or planned PSA change. When an MSP is moving platforms, merging with another MSP or being rolled up by a sponsor, the old system is about to lose its audience. That is the moment to ask whether a full export is being preserved.
Export and retention realities
Do not assume a particular export format, row limit or retention period. Vendor capabilities and the MSP's own configuration differ, and a specific claim needs the current vendor documentation. What you can say safely is general:
- Exports exist in some form for most PSAs, but completeness varies, and attachments and notes can be harder to extract than header fields.
- Someone at the MSP needs to own the export. If nobody can run it, that is a red flag.
- A data inventory lists systems, years of history and what can be exported. The MSP completes it with SourceX; the partner never touches records.
The data inventory builder helps an owner list systems and records before the first conversation.
Why client-identifying detail has to be scoped first
PSA tickets are full of client names, user names, devices, addresses and sometimes credentials pasted into notes. Managed services agreements commonly treat client environment details as confidential. The scope, the redaction rules and any client consent needs are agreed with the MSP before any work begins, and nothing is delivered without a signed agreement. The full objection is covered in can an MSP share client ticket data. For what masking means in practice, see what anonymized means in AI data licensing.
How a partner spots an MSP using its PSA well
- The MSP uses closing codes and resolution notes consistently.
- Technicians log time against tickets, so effort data exists.
- There is a documented escalation path and SLA structure.
- The MSP has roughly 50+ full-time employees at peak, contractors excluded.
- The owner or CEO has discussed AI internally, which makes a licensing conversation easier.
- A PSA, tool or acquisition change is on the calendar.
You can read most of this from a first meeting or the MSP's public service descriptions. You do not need a screenshot of a single ticket.
What to say without asking for any data

How partner rewards work
Partners earn 25% of the eligible platform fees SourceX actually collects from the referred company's licensing deals, capped at $100,000 per referred company. The reward is paid only after the buyer pays and SourceX receives its fee; an introduction, meeting or signed agreement alone does not trigger payment, and no reward is guaranteed.
Pitfalls
| Pitfall | Why it hurts | Fix |
|---|---|---|
| Asking for a sample export | Partners never handle confidential records | Offer the fit checker instead |
| Assuming all tickets are licensable | Client confidentiality may limit scope | Let the MSP and SourceX agree scope first |
| Ignoring a retired PSA | Archives may be deleted | Ask early what happened to the old system |
| Treating a small shop as a fit | Below the size baseline | Check headcount at peak first |
Next step
Ask one MSP owner when their PSA was adopted and whether the old data was kept. If the answers are good, register as a partner and introduce them, and run the company fit checker first for a preliminary view.
- Step 1Share your linkSend your personal link to a company you know.
- Step 2Company appliesThe company applies itself at /apply.
- Step 3Buyer selects and paysThe buyer selects and pays for the data and SourceX receives its fee.
- Step 4You get your rewardYour share of SourceX fees becomes payable.
Common questions
Is ConnectWise PSA the same as ConnectWise Manage?
Manage is the long-standing product name many MSPs still use for ConnectWise's PSA. For a partner the distinction rarely matters. What matters is how many years of tickets exist, how consistently they were closed out, and whether someone at the MSP can export them.
Do internal notes matter more than client-facing replies?
Often yes. Internal notes show what technicians tried and why, while client-facing replies show the polished answer. Both can be valuable, but internal notes may contain the most client-identifying detail, so scope and redaction rules are agreed with the MSP before any work begins.
Can an MSP on Autotask or another PSA qualify too?
Yes. The platform is not the test. A company qualifies on size, history, breadth of systems, rights to license and an authorized sponsor. A different PSA with deep, well-closed ticket history can be just as strong as ConnectWise.
Should a partner ask the owner to confirm export limits?
No. Export limits depend on the vendor documentation and the MSP's setup, and the data inventory covers them. A partner only asks whether history exists, how many years it spans, and whether someone can run exports.
What if the MSP already uses AI on its own PSA data?
That can help the conversation, since the owner already values the data. It does not block licensing by itself, but an existing exclusive AI-training license on the same data would, so ask whether any such arrangement exists.
