Aircall recordings and call notes: what to check before referring a client
An Aircall account can hold recordings, call history, tags and notes linked to CRM records, which makes outcomes traceable. RevOps consultants should check retention, consent notices and sync settings. A client with 50+ full-time employees at peak and years of consistent use may qualify, subject to rights.
Why is Aircall data different from a plain phone log?
Aircall is built to sit next to a CRM, so a call can carry a tag, a note and a link to a contact or deal. That means an Aircall account can show not just that a call happened, but what the rep concluded and which record it updated. For a RevOps consultant, that traceability from call to outcome is the single feature worth checking first.
A phone log with no outcome is activity. A call with a note, a tag and a deal stage is evidence of how a sales or service team works.
Which Aircall records are worth asking about?

The tags and notes are where reps record judgment: why a prospect stalled, what objection came up, what was agreed. If reps filled them in carefully for years, the account is an unusually clean record of selling or support in practice.
Where do the call notes really live?
Often not in Aircall alone. Sync settings decide whether notes and tags are also written to the CRM as activities. Two situations are common:
- Notes sync to the CRM. The CRM becomes the more complete long-term record, and a call can be traced to a deal outcome there even if Aircall retention is short.
- Notes stay inside Aircall. The phone tool is the only place the commentary exists, so its retention matters more.

What about retention and consent?
Retention is configured per account and may have been left at a default or tightened later. Ask the administrator:
- What is the oldest call and oldest recording on the account?
- Is deletion scheduled, and has it been running?
- Are recordings stored only in Aircall or also copied elsewhere?
- Is there a recorded-call notice, and since when?
- Which team members' calls are recorded?
Recording consent rules differ by state: 18 U.S.C. § 2511(2)(d) allows a party to a call, or someone with one party's prior consent, to record it unless the purpose is criminal or tortious, but some states require every party's consent; California is one example under Penal Code § 632 for confidential communications. Export realities, stated carefully
Do not promise a specific export method. Vendors change tools, and options depend on plan and administrator rights. Say only that the administrator should check what bulk options exist for recordings and for call data, whether tags and notes come out with the calls and whether the CRM already holds a copy. If the company is replacing its phone system, ask that nothing be deleted until the decision is made. When Aircall is not a lead
- The account is under a year or two old.
- Reps work mostly from mobile phones outside the system.
- Calls are handled for clients who have not agreed to any use.
- Recording is off and there are no notes.
- The company is below the 50 full-time employee baseline at peak.

How partner rewards work
Partners earn 25% of the eligible platform fees SourceX actually collects from the referred company's licensing deals, capped at $100,000 cumulative per referred company. Common questions
What is valuable about CRM-linked call notes?
They connect a conversation to a result. A call with a tag, a note and a deal link shows what the rep concluded and what happened next, which is far more useful than an unlabelled recording. Consistency over several years makes the effect stronger.
Should I ask a client to download their Aircall recordings?
No. Partners never export, upload or describe confidential records. Ask only about the oldest call, retention settings and whether notes sync to the CRM. The company works with SourceX on its inventory and any exports, under agreed rules.
What if call notes are only in the CRM?
Then the CRM may be the better long-term record, and the question becomes how deep its history is. Recordings may still add value if they exist. The company's inventory will show which system holds each piece.
Do all Aircall calls get included in a license?
Not automatically. Scope is agreed with the company, and recordings are included only if rights, notices and consent support it. Personal details are handled under redaction rules agreed before work begins, and nothing is binding until the company signs.
Is a small sales team a fit?
Usually not on size alone. The program baseline is 50+ full-time employees at peak with contractors excluded, several years of operations and an authorized sponsor. A small team with excellent notes does not meet the baseline by itself.
