Exportability checklist: can the company's SaaS data be exported?

A company can confirm whether its SaaS data is exportable by recording, for each system, the years covered, export routes, formats, limits and the person who can authorize it. Systems with no export route are a red flag. Partners never handle exports; the company's IT lead runs the checklist.

Can the company's SaaS data actually be exported?

Usually yes in part, but only a system-by-system check tells you how much, in what format and who can do it. "Nobody can export the data" is one of the red flags that stops a licensing conversation, so this checklist lets the company's IT lead or system administrator answer the question before anyone else spends time.

Who should run it and what they record

The person with admin rights to each system fills in one row per system. They record facts about the export, not the content itself.

Export checklist by system type

Collaboration and communication

  • Email: can a full mailbox export be produced for the accounts that matter, including archived and shared mailboxes?
  • Chat (Slack, Teams or similar): is there an admin export, and what plan level does it need? Check what history your plan keeps.
  • Shared drives and wikis: can whole folders or spaces be exported with their structure and dates intact?

Customer and revenue systems

  • CRM: can accounts, contacts, activities, notes and deal stages with outcomes be exported, not only a contact list?
  • Support or helpdesk: do exports include comments, status changes and resolutions, not just ticket headers?
  • Finance and billing: can ledgers, invoices and approval trails be exported by period?

Engineering and operations

  • Source control and issue tracking: are repositories, pull requests and issues retrievable, or only the current code?
  • Project and workflow tools: do boards and task histories export with comments?
  • Call or meeting recordings: are they stored where the company controls them, and were notices given?

For every system

  • Is the contract still active, and when does it end?
  • Did the vendor retain data after cancellation, and for how long? Ask the vendor in writing; do not assume.
  • Does an export contain other people's data (customers' personal information, client material) that limits licensing?
  • Has a trial export been tested on a small, non-sensitive slice, with the result logged?

Red flags that stop the process

  • Nobody at the company can run exports or owns the inventory.
  • The only copies are in a system that has already been deleted.
  • The export contains mainly someone else's data, with no consent.
  • The company already licensed the same data for AI training.

Next, find retired systems and old archives, because archived records often extend the history. Use the data inventory interview questions with each department head, and see using AI tools versus licensing data to AI if an owner wonders whether their software already shares data. How a partner uses this page

If you know a company where export has been a problem, send them the checklist and ask the sponsor to run it. Do not ask for the results unless the sponsor offers a summary. You can then make an introduction for companies that meet the baseline: 50+ full-time employees at peak (contractors excluded), several years of documented operations, rights to license, and an authorized sponsor. Common questions

Why does exportability matter for data licensing?

A license can only cover records the company can actually produce. If nobody can export a system, its history cannot be delivered, so SourceX treats that as a red flag. Confirming export options early avoids wasted effort and shows which systems carry value.

Is a contact list export enough from a CRM?

Usually not. The value for AI buyers lies in activities, notes, deal stages and outcomes tied to accounts. A bare contact list shows little about how work was done. The checklist asks the admin to confirm whether richer objects can be exported.

What if a vendor keeps data only for a short time after cancellation?

Ask the vendor in writing how long data is retained after cancellation and how to request an export. Do not assume. If the contract ends soon, start the request before the end date, because deleted records cannot be licensed.

Should a referral partner run the exports?

No. Partners make introductions and give basic fit information only. They never export, upload or describe confidential records. The company's own administrator runs the checklist and decides what to share and with whom.

Does a successful test export mean the company is approved?
