Where do I send my W-8BEN, and does it go to the IRS?
Send your W-8BEN to the company paying you, called the withholding agent, when it asks for it and before payment. It is not filed with the IRS. The IRS describes it as a form you give to the payer. Entities use W-8BEN-E and send it the same way.
Where does a W-8BEN go?
A W-8BEN goes to the person or company paying you, called the withholding agent, not to the IRS. You complete it, sign it and give it to the payer when they request it, before income is paid or credited. The payer relies on it to decide how to treat your payment.
The IRS says this on its own page about Form W-8BEN: foreign individuals who are beneficial owners of amounts subject to withholding give the form to the withholding agent or payer when requested. Entities use the separate Form W-8BEN-E, which also goes to the payer.
Who is the payer for a SourceX reward?
For a partner reward, the payer is the party that sends you the reward under your partner agreement. The agreement and the program terms say who that is and how the form is collected. Follow those instructions rather than guessing an address from a template or a forum post.
Two practical points follow:
- You do not need to find a mailing address or an IRS office. If a request points you there, treat it with suspicion.
- A reward becomes payable only after the buyer pays and SourceX receives its fee, so a request for your form is more likely to come near payment than at sign-up. Check the terms for the exact timing.
How should you send a tax form safely?
Treat a W-8BEN as sensitive. It carries your name, address, country of residence and often a tax identification number. A sensible sequence:
- Confirm the request came through the partner portal, the signed agreement or an address you already verified.
- Complete the form fully and sign it. An unsigned or incomplete form is likely to be sent back.
- Upload it through the portal if one is offered. If email is the only option, protect the file with a password and send the password by a separate channel.
- Keep a copy and the date you sent it.
- Diarise a refresh date for when your details change or the form expires. Ask your tax adviser how long a form stays valid for your situation.
What will a legitimate payer ask, and not ask?
| Usually legitimate | Warning sign |
|---|---|
| Your signed W-8BEN or W-8BEN-E | A demand to send it to the IRS yourself |
| Legal name, country, tax ID where applicable | Your online banking login or a one-time code |
| Bank account details to receive payment | A fee to release or process your reward |
| A corrected form if a field was blank | Pressure to reply within hours or lose the reward |
If a message looks wrong, go to the portal or contact SourceX through the details in the terms, not through the message.
What happens if the form is missing?
The payer may be unable to treat you as a foreign person with the correct documentation, and withholding rules can then bite. The mechanics are covered in what happens if you do not provide a W-8BEN. What if you are a firm or based in a specific country?
Firms use W-8BEN-E, which has more sections; start with the walkthrough on filling out a W-8BEN-E for an advisory or consulting firm. How do rewards fit in?
Partners earn 25% of the eligible platform fees SourceX actually collects, capped at $100,000 per referred company, payable only after the buyer pays and SourceX receives its fee. No reward is guaranteed. The referral earnings calculator shows the formula.

Common questions
Do I send the W-8BEN to the IRS?
No. The IRS says the form is given to the withholding agent or payer when requested. You do not file it with the IRS yourself. If a message tells you to mail or upload it to the IRS, treat it as a warning sign and check the request against your partner agreement.
Who exactly keeps my W-8BEN?
The party paying you holds it for its withholding and reporting purposes. For a SourceX reward, your signed agreement and the program terms describe who that is and how forms are collected. Keep your own copy and the date you provided it, because you may need to show it later.
When should I submit the form: at sign-up or at payout?
Provide it when the payer requests it, which is before income is paid or credited. A reward is payable only after the buyer pays and SourceX receives its fee, so the request usually comes later than registration. Having the form completed in advance means you can answer the same day.
Can I email my W-8BEN?
Only if no secure upload exists and the request is genuine. Password-protect the file and send the password by a different channel, never in the same email. The form contains personal details and often a tax identification number, so avoid public chat groups and shared drives with open links.
Do firms use the same form?
No. Individuals use W-8BEN, while entities such as companies and partnerships use W-8BEN-E, which asks for entity status and sometimes FATCA information. Both go to the payer. If you are unsure which applies, for example with a sole proprietor, ask a tax adviser before signing anything.
