What to do with company email archives when you close a business
Before closing a business, export the whole company email archive, keep the domain and one admin account alive until retention and legal-hold questions are settled, and cancel Google Workspace or Microsoft 365 last. The safe order is export, then decide, then cancel. Once a Google Workspace or Microsoft 365 subscription ends, the provider deletes the organization's mailboxes after a period set in its own terms, and owners should assume nothing can be restored after that. The archive that disappears includes former employees' mailboxes, which often hold the company's longest history.
Email is usually the most complete record a closing company has. It is where quotes were negotiated, vendor problems were escalated and approvals were given. Decide its fate deliberately: keep it for retention, destroy it on a schedule, or license a redacted version if the company qualifies. What counts as the company email archive?
More than the inboxes of people still on payroll. Check each of these before anything is switched off.

Why is cancelling the subscription first a mistake?
Because cancellation starts a deletion clock you do not control. Both major providers publish their own rules on how long a cancelled organization's data is kept; read the current admin documentation rather than relying on a number someone remembers, because those periods can change.
Three other things break when the subscription goes first. The domain lapses, so nobody can receive password resets for other systems. Legal holds set inside the platform stop protecting anything. And the obligation to keep certain tax, payroll and contract records does not end when the doors close; how long each must be kept depends on the record and the state, so get the list from your accountant and counsel.
How do you shut down company email without losing the archive?
- Pause automatic deletion and retention-expiry policies, and ask remaining staff not to purge mailboxes.
- List every mailbox, shared inbox, group and archive, including accounts of people who left years ago.
- Export with the provider's admin or eDiscovery tools into standard mailbox formats such as MBOX or PST.
- Check the export: compare message counts and date ranges per mailbox against the source before trusting it.
- Store two encrypted copies in different places, with one named person responsible for custody.
- Keep the domain registered and one administrator account active until retention decisions are final.
- Agree a written retention and destruction schedule with counsel.

What makes an email archive useful for AI training?
Email captures work as it happened: a request, the back-and-forth, the attachment that settled it and the outcome. Threads show who was involved, what was decided and what followed, across customers, vendors and internal teams. That sequence is what AI developers need to train and evaluate agents that carry out multi-step business tasks, and it is scarce on the public web. Not every inbox is equal. Ten years of a sales inbox with quotes, revisions and win or loss replies is far richer than a mailbox of newsletters and notifications. Archives connected to other preserved systems, such as the CRM or ticketing history, are worth more than email alone.
What privacy and rights limits apply?
An email archive is a business record full of other people's information, so licensing it is never as simple as handing it over.
- Personal messages and HR material. Staff mix personal notes, medical absences and performance discussions into work mail. These are excluded or redacted, and employee-privacy rules vary by state.
- Health information. If mail contains protected health information, HIPAA allows de-identification through Safe Harbor removal of specified identifiers or an expert determination (HHS de-identification guidance); otherwise authorization is needed.
- People in the EU. The GDPR can apply to organizations outside the EU that offer goods or services to, or monitor the behavior of, people in the EU (Regulation (EU) 2016/679).
- Privileged and confidential mail. Correspondence with lawyers, and information received under NDAs, stays out.

Common questions
How long do Google Workspace and Microsoft 365 keep email after cancellation?
Each provider sets its own retention period for a cancelled organization's data and publishes it in current terms and admin documentation, and those periods change. Do not plan around a remembered figure. Read the provider's documentation before cancelling, treat the cancellation date as the last safe moment to export, and assume nothing can be recovered once deletion runs.
Can we forward all company email to the owner's personal account instead?
It is a poor substitute for an export. Forwarding scatters business records into a personal account, mixes in employees' personal messages, may breach confidentiality duties to customers and produces no verifiable copy. Exporting into standard mailbox files, stored encrypted with a named custodian, keeps the archive complete and usable for tax, litigation or a later license.
Do former employees have a right to their old work mailbox?
Work mailboxes are generally business records, but employee-privacy rules and company policies vary by state. Former staff may ask for personal items such as pay records or tax forms; handle those requests separately and narrowly. Check with counsel before giving anyone access to the full archive, especially where it contains customers' or colleagues' information.
Should we delete the email archive once the business has closed?
Not until retention duties and any legal holds are settled. Tax, employment, contract and litigation needs can require keeping records for years, with periods that differ by record type and state.
