Quality scoring disagreements referral brief template for CX consultants, with a completed Illustrative example

Short answer

A company introduction about quality scoring disagreements is a short brief the quality director can verify in minutes and forward to the decision-maker. It describes, never attaches: the business and its full-time headcount, the QA platform, contact center suite and CRM, years of evaluations and calibration, a rough count of adjudicated splits, who keeps the history, who can authorize a licensing discussion, the open question and any dated access event. No recordings, snippets, agent or customer names, logins or exports.

Visual briefFull-size diagram
A two-column brief form whose fields fill in one at a time for a fictional utility customer service center: 540 staff, QA module plus contact center suite plus billing CRM, rulings since 2021, about 400 adjudicated splits, the quality manager as owner, the CEO as signer, and a leave-out column listing recordings, names and exports.
Illustrative. The utility, counts and dates are fictional.

This template is part of the quality scoring disagreements guide, which covers the inventory before a QA vendor change. Fill in the blank brief with the quality director, then check your draft against the completed Illustrative brief.

The blank brief: include and leave out

Copy both columns. The left column is filled with short phrases, numbers or "unknown". The right column is a promise and never changes.

Filling each line in one call

Company. In-house or outsourcer is the most important word in the brief. At an outsourcer, recordings usually belong to clients, which narrows what could ever be in scope.

Years. Three numbers, because they rarely match: how far back evaluations go, when calibration started, and how long the suite keeps recordings. A team that has calibrated since 2020 but keeps recordings for 18 months has rulings that outlive their audio.

Volume. Calibration reports usually show sessions and score variation without anyone opening a call. Genesys, for example, describes administrators comparing scoring variations between evaluators in calibration. A total of adjudicated splits is the strongest single number. If the team tracked a chance-corrected agreement measure such as kappa, which McHugh's review explains, it can add it; it is optional.

Authorized contact. Name the role. If unsure, use the who-can-license decision tree.

Open question. Usually one of three: what the old QA vendor will return at contract end, whether rulings were written in the platform or in email, and whether recordings still exist for older sessions.

Access event. A date with a source document. If none is written down, put "none known".

Completed brief (Illustrative)

Written for this page about a fictional 540-person regional utility with its own customer service center. Every value is invented; it is not a real client, quote or deal.

LineIllustrative entry
CompanyRegional electricity and gas utility, in-house customer service center, 540 full-time staff at peak
TaskSettling QA scoring splits on billing and payment-arrangement calls through fortnightly calibration
SystemsQA module inside the workforce management suite; contact center suite; billing CRM notes
YearsEvaluations since 2017; calibration with written rulings since 2021; recordings kept 24 months
VolumeAbout 26 calibration sessions a year; roughly 400 adjudicated splits since 2021
Record ownerQuality and compliance manager
Authorized contactCEO, with general counsel; quality and compliance manager as sponsor
Open questionWhether rulings made before 2021 were recorded anywhere outside meeting notes
Access eventNone known; the workforce management contract renews automatically

Note what makes it credible: a count limited to the years with written rulings, an open question that admits a gap, and "none known" where no date exists.

Read it as the CEO would: what exists, for how long, how much, who keeps it, what is uncertain and what date matters. Nothing in it is a record.

Sending it

Pair the brief with a short covering note; the email templates for CX consultants give suggested wording, and the client opportunity brief generator can produce a first draft. For an owner-managed business, the warm introduction brief for a business owner is a simpler format. The first-month plan for CX consultants helps decide which clients to approach first. What a scorecard measures, item by item, is on the QA scorecard data page, and the system map helps answer the open-question line.

If the center makes outbound telemarketing calls, note it: 16 CFR 310.5 requires sellers and telemarketers to keep specified records, including call detail records, for five years, which can explain why some call records exist longer than others. It is not a basis for licensing.

What happens after the brief is read

If the decision-maker agrees to a call, the company applies and SourceX reviews record classes, rights and qualification. SourceX licenses approved business data directly from companies for AI training and evaluation, and manages the agreement, rights review, data preparation, delivery and payout. The rights position on recordings, the de-identification required, buyer interest and any offer stay unknown until that review.

The company needs 50+ full-time employees at peak (contractors excluded), a documented operating history, rights to license and an authorized contact. Companies in the U.S., Canada and the EU qualify, as do companies in the UK, Australia, New Zealand, India, Singapore, South Africa, Latin America, the UAE and Saudi Arabia when at least 90% of the data is in English. Partners sign the Channel Partner Agreement before submitting; the first valid introduction within the 90-day window is credited when the company submits a verified application. A reward becomes payable after SourceX has paid the referred company under its signed agreement and the payout conditions in the program terms are met, including finance approval and your tax and payment details.](/rewards) explains.

Next step

Refer a company. Earn up to $100,000. Default reward: 25% of Actual Supplier Payout, capped at $100,000 cumulatively per referred company. Eligibility and payment conditions apply, and a signed Schedule A or addendum can differ. A lead, meeting or signature alone does not trigger payment.

When every line is filled or marked unknown and the leave-out column still holds, register as a partner, confirm the company on who qualifies and read the program terms before the quality director forwards the brief.

Common questions

Should the brief include the program's kappa score?

Only if the quality team already has it and is happy to share it. The count of adjudicated splits and the years covered matter more to the reader than an agreement statistic.

Can I mention the QA vendor by name?

Yes, as a plain system label, so the reader knows what is being replaced. Do not attach vendor reports, screenshots or exports.

What if the company is an outsourcer?

Say so in the company field and note that recordings belong to clients. That one line changes the rights review and saves everyone time.
