What a maintenance deferral is
A deferral is a business exception by definition: planned or corrective work did not happen when it was due, and someone decided that was acceptable under conditions. On a working vessel that decision is routine, because a repair often needs a port, a spare part or a service engineer the ship does not have at sea. What makes it a record worth keeping is that it carries a risk judgment, the conditions attached to it, and a name.
The decision also has a regulatory frame. The ISM Code requires a safety management system established by the Company, which it defines to include the owner or any manager that has assumed responsibility for operating the ship, with a designated person ashore who has direct access to the highest level of management. IMO guidance on implementing the Code says the Company determines and initiates corrective action for a non-conformity, and that corrective action should not normally take more than three months. Where a defect touches classification, class societies record conditions of class, and IACS keeps a procedure for suspending class when surveys or conditions of class go overdue. A deferral history therefore records judgments the company had to be able to defend.
Worked example: a repair deferred until the next port
Illustrative. A fictional 210-person ship manager runs twelve offshore supply vessels for three owners. All names, dates and references below are invented.
| Day | Record | What it says | Held in | Signed by |
|---|---|---|---|---|
| Day 0 | Inspection finding | Weeping seal on the No. 2 main seawater pump during the engine room round | Planned maintenance system, defect report | Second engineer |
| Day 0 | Deferral request | Seal replacement postponed to next port; No. 1 pump on duty, No. 2 on standby; daily leak checks | Planned maintenance system, postponement form | Chief engineer |
| Day 1 | Shore approval | Deferral accepted with conditions; spare seal kit ordered for delivery at port | Email thread and document control | Technical superintendent |
| Day 9 | Repair at port | Seal replaced, pump run and checked for leaks | Service engineer's report, parts requisition | Service engineer, chief engineer |
| Day 10 | Sign-off | Job closed with running hours and photos; deferral closed | Planned maintenance system, closing work order | Chief engineer, superintendent |
Read as a chain, those five records answer the questions a reviewer, an auditor or an AI developer would ask: what was the symptom, what was the risk judgment, what conditions applied, who accepted them, and did the fix hold. That combination of problem, reasoning, authority and outcome is what makes exception records useful for training and evaluating agents that do real operational work, the theme of the maintenance data guide.
The conditions matter as much as the decision. "No. 1 pump on duty, daily leak checks" is a temporary control. A deferral history that records whether those checks happened, and whether anything changed before the port call, shows how the crew managed risk while the exception was open.
Map inspection findings, deferral requests and sign-off records
Each record class shows one stage of the exception. The map below is what a partner can learn in conversation, without opening the maintenance system.
| Stage | Record class | What it shows | Questions about coverage |
|---|---|---|---|
| Problem | Inspection findings and defect reports | The symptom, where and when it was found | Are findings logged as structured defects, or only in the engine log? |
| Problem | Deferral or postponement requests | The reason, temporary measures and new due date | Does each request carry a reason field and conditions? |
| Authorized action | Shore approvals | Who accepted the risk, and on what terms | Do approvals sit in the system, in email, or both? |
| Authorized action | Repair records | What was done, by whom, with which parts | Do service reports link back to the deferral reference? |
| Checked result | Sign-off and closing work orders | Running hours, tests, photos and closure | Is the deferral closed against the same job number? |
| Checked result | Class and audit follow-up | Whether a condition of class or non-conformity was cleared | Are survey and audit records kept with the job? |
The weak link is usually the shore approval. If superintendents approved deferrals by email, the reasoning may sit in mailboxes rather than in the planned maintenance system. Fleet maintenance records in general are covered on the fleet maintenance records page.
Ask the technical director about coverage and rights
Keep the questions at metadata level:
- How many deferrals a year across the fleet, roughly, and how many vessels and years the planned maintenance system covers.
- Whether deferral requests, approvals and sign-offs share one job reference.
- Which vessels the company manages for third-party owners, and whether the ship management agreements say who holds maintenance records.
- Who can authorize a licensing discussion. Who needs authority to approve a company data partnership covers the usual answer.
Never ask for exports, screenshots or crew details. A company planning a system change can read the CMMS migration guide separately; that is a different conversation from this one.
Does the company qualify, and what stays unknown?
The introduced company needs 50+ full-time employees at peak (contractors excluded), a documented operating history, rights to license the records, and an authorized contact. Companies in the U.S., Canada and the EU qualify, as do companies in the UK, Australia, New Zealand, India, Singapore, South Africa, Latin America, the UAE and Saudi Arabia when at least 90% of the data is in English.
Unknown until SourceX reviews it: buyer interest in deferral records, how owner and manager rights split under each agreement, what crew and vessel identifiers must be removed, and whether an offer follows. SourceX licenses approved business data directly from companies for AI training and evaluation and manages the agreement, rights review, data preparation, delivery and payout. Partners sign the Channel Partner Agreement before submitting introductions, and the first valid introduction within the 90-day window is credited when the company submits a verified application. ERP consultants can read the ERP consultants page; similar exception patterns appear in logistics exceptions and procurement approvals, and other sectors are on the industries hub.

Refer a company. Earn up to $100,000. Default reward: 25% of Actual Supplier Payout, capped at $100,000 cumulatively per referred company. Eligibility and payment conditions apply, and a signed Schedule A or addendum can differ. A lead, meeting or signature alone does not trigger payment.
If a ship manager you work with keeps years of deferrals that still link from finding to approval and sign-off, register as a partner, confirm the company against who qualifies, and read the terms and reward rules before you send the handoff.
